If you are logged in to stiftungen.stiftungschweiz.ch, you will find access to the AI assistants in the menu. Simply click on "AI assistants" and you will be taken to an overview page of all AI assistants.
Project portrait from PDF
At the top of the AI wizard overview page, you will find the option to create a project portrait from a PDF. To do this, first click on "Do the Magic!".
You will be automatically redirected to the next page. To receive a project portrait from the AI Assistant, you must first upload your project dossier. Please note that you can only upload PDF files that are a maximum of 10 MB in size.
If you get the error message "Something went wrong here", then the PDF file you have uploaded is probably too large. Reduce the size and try again.
Once the PDF is successfully uploaded, our AI assistant will work its magic. This can take anywhere from a few seconds to a few minutes.
When the AI wizard is finished, you will see your project portrait.
Click on "Save draft" at the bottom right to continue. You will be taken to the overview page of the project you have just created. If information is still missing for your project portrait, this will be displayed here in red.
Complete the information and check the data filled in by the AI before continuing. At the top right, you can click on "Show project portrait" to get a preview of what your project portrait will look like on the platform.
Once you have entered all the required information and are satisfied, you can publish your project portrait. You now have two options: You can make your project public for everyone to see, or you can keep the project private and only share it with selected funding organizations. You can change whether your project has the status "Private" or "Public" at any time later.
Cover letter for a specific request
The second option on the AI assistant overview page is to create a cover letter for a specific request. To do this, click on "Do the Magic!". You will be automatically redirected to the next page. Here you proceed in the following steps:
Select your organization. If you manage several organizations, you can select the right one here using the drop-down menu.
Select your project. If you click on the drop-down menu, you will see an overview of all the projects that you have entered for your organization on StiftungSchweiz. Select the project for which you would like to create a cover letter.
Select the Funder. In the search field, you can search for the funding organization for which you would like to create the cover letter. You can only select organizations that are listed on the platform and one organization at a time. Can't find the organization you want to select?
- Make sure that you have spelled the organization name correctly, as it is stored on the foundation platform stiftungen.stiftungschweiz.ch.
- Make sure that it is a funding organization. Organizations that are listed as nonprofits in our directory are not displayed here.
Optional: Configure. Here you can give the AI instructions that it should follow when writing the cover letter. You can determine the writing style, add additional information or even decide the length of the letter. The principle is similar to ChatGPT. If you are not yet familiar with this principle, feel free to play around with it. For example, try the following and see the difference in the result: "Use very formal and polite language. The cover letter is addressed to a large funding organization with strict guidelines", or "Use informal language and write the cover letter in a friendly and familiar tone."
Choose the language of the letter. You can choose from German, English and French.
Once you have entered all the details, click on "Create cover letter" at the bottom right. The AI will now process your details and create your cover letter. This can take a few seconds or even minutes.
You will now see a preview of the cover letter you have just generated. If you are already satisfied, you can "Export" the cover letter at the bottom right. Use this button to download a Word file of the cover letter.
Wichtig: Bitte lies den Text noch einmal genau durch und mach alle nötigen Korrekturen, bevor du den Brief absendest. Wenn dem KI-Assistenten eine Angabe fehlt, verwendet er eckige Klammern und Platzhalter-Infos. In unserem Beispiel siehst du, dass die Angaben zur Person, welche den Brief absendet, noch fehlen. Ganz unten steht deswegen [First Name] [Last Name] um darauf hinzuweisen, dass diese Angaben noch fehlen. Solche Platzhalter-Infos sind häufige Fehlerquellen im Umgang mit KI, also achte unbedingt darauf.
If the cover letter does not meet your expectations, you can return to the previous page with "Cancel" and change or add the information.
Improve project portrait
At the third position in the overview page of the AI assistants you will find the option to improve a project portrait. To do this, click on "Do the Magic!".
You will be automatically redirected to the next page. Here you can select the organization and the project you want to improve. If you manage several organizations on stiftungschweiz.ch, you can select them from the drop-down menu. In step 2 "Select project", you will be shown all the projects that you have entered on stiftungschweiz.ch up to that point. In the drop-down menu, select the project that you would like to improve with AI. As soon as you have made your selection, click on "Check project portrait" at the bottom right.
The AI will now analyze your project portrait. This can take a few seconds or even minutes.
Once the analysis is complete, you will receive detailed feedback on all potentially problematic aspects of the project portrait. The feedback is divided into several sections. Each section describes a problem and also provides you with a suggestion for improvement. The AI assistant only creates sections on points where there is potential for improvement.
At the bottom right, you can export the AI-generated analysis of your project portrait as a Word file.
Magic Lists
You will find the Magic List at the bottom of the AI assistant overview page. Click on "Do the Magic!". You will automatically be redirected to the next page. In the first step, you can select one of your managed organizations. In a second step, you can select the project for which you want to generate the Magic List. To do this, click on the drop-down menu and select from the projects that you have already entered on stiftungschweiz.ch.
You can only select one project at a time. As soon as you have made your selection, you can continue with the "Generate Magic List" button at the bottom right. The AI assistant will now automatically generate a Magic List, which can take anywhere from a few seconds to a few minutes. As soon as this process is complete, a new page will open with the Magic List you have just created.
In this Magic List you will find up to 30 funding organizations that may be suitable for the project you have selected.
The AI Assistant has assigned one of these two tags to each organization:
"Precise fit" for funding organizations that fit the project very well and match on many points
"Partial match" for funding organizations that match the project in certain aspects but deviate slightly in others or have a different focus.
In addition, the AI assistant commented on each organization in the Magic List and explained exactly in which aspects the organization fits the project and in which it does not.
